2 — Information we collect

Depending on how you interact with us, we may collect:

• identity and contact details, including your name, email address, social-media handle and contact preferences;
• enquiry, consultation and booking information;
• session details, including participants, locations, dates, creative preferences and relevant accessibility requirements;
• photographs, video, audio and associated file or capture metadata;
• contracts, quotations, invoices, payment status and transaction records (payment providers process card details under their own notices);
• gallery access, image selections, delivery and download records;
• consent, model-release and publicity choices;
• messages, feedback, complaints and other correspondence; and
• technical information such as device, browser, IP address, website usage and cookie choices.

Please do not send health or other sensitive information unless it is genuinely necessary for us to provide the service safely and you are comfortable doing so.

3 — How we receive information

We receive information directly from you through enquiries, booking forms, consultations, agreements, payments, email, private galleries and session delivery. We may also receive information from a person arranging a session, a parent or guardian, a participant, our website and service providers, or a publicly available source where its use is appropriate and lawful.

If you provide information about another person, you should have authority to do so and make this notice available to them.

4 — Why we use information and our lawful bases

We use personal information to:

• respond to enquiries and prepare quotations or proposals;
• take steps before a contract and administer a confirmed booking;
• plan, photograph, edit, proof, deliver and support a session;
• operate secure galleries, collect selections and provide downloads;
• manage payments, accounting, tax, records, complaints and legal claims;
• protect our website, clients, images and business against misuse or fraud;
• improve our services and website;
• send marketing where you have chosen to receive it; and
• use images for a portfolio, website, social media, awards or promotion only where the required permission has been obtained.

Our lawful bases are usually steps requested before entering a contract, performance of a contract, compliance with a legal obligation, our legitimate interests in running and protecting a professional photography business, or consent where consent is required. If we need to process special-category information, we will identify an appropriate additional legal condition and, where required, obtain explicit consent.

You may withdraw consent at any time. Withdrawal does not make earlier lawful processing unlawful.

5 — Photography, children and publicity

Photography necessarily involves creating and handling identifiable images. Images are processed to deliver the commissioned service and to protect legitimate client and business records.

A parent, guardian or other authorised adult must arrange services involving a child where required. We take particular care with children’s information and private galleries.

Booking a session does not automatically give SEV permission to publish photographs. Portfolio and publicity use is controlled by the relevant agreement, model release or recorded choice. Declining optional publicity does not affect the price or service. A client or organiser must not give publicity permission on behalf of another identifiable adult unless authorised to do so.

6 — Cookies and website information

The website uses essential cookies and similar technologies needed for security, navigation, forms, shopping or requested functionality. With your choice or consent, it may also use analytics, personalisation or marketing technologies.

Non-essential cookies are not set unless the consent required by law has been obtained. You can accept, reject or change non-essential cookie choices through the website’s cookie controls. Browser settings can also block or delete cookies, although some features may then work differently.

Our website is hosted by Squarespace. Other embedded or linked services may process information under their own privacy notices.

7 — Who we share information with

We share only what is reasonably necessary with trusted providers that help us run the business, such as:

• website hosting, email, cloud storage and collaboration services;
• secure gallery, file-transfer and delivery services;
• payment, invoicing, bookkeeping and accounting providers;
• printing, album or fulfilment suppliers selected for a booking;
• professional advisers, insurers and technical-support providers; and
• regulators, courts, law-enforcement bodies or other parties where disclosure is required or permitted by law.

We do not sell personal information. Providers must handle information under applicable law and their contractual responsibilities.

8 — International transfers

Some providers may store or access information outside the United Kingdom. Where this involves a restricted transfer, we use a lawful safeguard where required, such as an adequacy regulation, approved contractual protection or another permitted mechanism. You may contact us for more information about relevant safeguards.

9 — How long we keep information

We keep personal information only as long as reasonably needed for the purpose, our contractual responsibilities and legal or insurance requirements. Typical periods are:

• enquiries that do not proceed: normally up to 12 months after the last meaningful contact;
• contracts, invoices, payment and core business records: normally up to 6 years after the relevant transaction or relationship;
• private selection galleries: for the access period confirmed for the booking, normally at least 14 calendar days;
• working image backups: normally up to 6 months after final delivery;
• marketing records: until you unsubscribe or the information is no longer reasonably current; and
• portfolio/publicity material: while the relevant permission and business purpose remain valid.

We may keep information longer where required for a legal claim, safeguarding concern or statutory obligation. When information is no longer required, we securely delete, anonymise or archive it as appropriate.

10 — Security

We use reasonable organisational and technical measures to protect personal information, including controlled access, reputable service providers, private delivery methods and business backups. No internet or storage system is completely risk-free. Please use private gallery links responsibly and tell us promptly if you suspect unauthorised access.

11 — Your data-protection rights

Depending on the circumstances, you may have the right to:

• ask for access to your personal information;
• correct inaccurate or incomplete information;
• request deletion or restriction;
• object to processing based on legitimate interests or to direct marketing;
• receive certain information in a portable format;
• withdraw consent; and
• complain to the Information Commissioner’s Office.

To exercise a right, email info@swordeyevisions.com. We may need to verify your identity and clarify the request. We normally respond within one month, subject to lawful extensions or exemptions.

Please contact us first so we can try to resolve a privacy concern promptly.

13 — Marketing

We send promotional email or similar direct marketing only where we have a lawful basis and, where required, your consent. You can unsubscribe using the message link or by emailing us. Service messages about an enquiry, booking, gallery, payment or delivery are not marketing.

14 — Changes and contact

We may update this notice when our services, providers or the law change. The date above identifies the current version.
